Items being procured: - Reservation of Hall with sofas, chairs, stage, rostrum with microphone, air-conditioning/heating, backup generator, attached baths for ladies and men - Reservation of Lawn/Marquee with waterproof canopies, rostrum with microphone, air-conditioning/heating, backup generator, seated dinner on round tables with decoration, side catering, waiters in uniform, lights, and carpet runner - Arrangement of Food Menu including Chicken Korma, Mutton Korma, Seekh Kabab, Chicken Boti, Mixed Vegetable, Palak Paneer, Fried Rice, Nan (Roghni), Roti, Kheer, Fruit Trifle, Gulab Jaman, Chutneys, Raita, Mixed Salads, Tea, and a separate VIP buffet - Arrangement of Hi-Tea with Tea, Cookies, Patties, Pastry, Samosa, Seekh Boti, Green Tea - Provision of food boxes with Chicken piece, Kebab, Roghni Naan, and raita/salad - Provision of small bottles of mineral water and cold drinks (3 types) as per weather - Designing, preparation, transportation, and placement of Backdrop (15x30) with Ministry logos and pictures - Designing, preparation, and placement of SMD and Standees (3'x8') with Ministry branding - Accommodation arrangements for guest speakers in minimum 3-star hotels without meals - Designing, preparation, and placement of flex banners (20x50) - Printing of Invitation Cards as per approved specimen - Arrangement of air-conditioned transport for invitees (local and outstation) - Hiring of professional singers and musical band - Hiring of Santa Clause for Christmas function - Distribution of Buntees, Toffees, Chocolates (300 pieces each) - Christmas tree decoration and distribution of Christmas gift packs (50 Nos.) - Arrangement of stage with experienced stage secretary - Preparation of cake (30 pounds) with floral decorations and waiter - Arrangement of flower and interior decoration including flower baskets and bouquets - Decoration for Christmas function with lights, buntings, flowers, stickers, balloons - DJ sound system with speakers and accessories - Video coverage and still photography with USB supply and photo albums The scope covers multiple cities and requires firms with at least five similar events experience.
