Procurement of Services for Convocation 2026 Including Venue Setup, Furniture, Food, Photography, Videography, and Printing Materials

Dow University of Health Sciences (DUHS), Karachi, invites qualified firms and service providers to submit bids for the comprehensive procurement of services for Convocation 2026. This includes venue setup, furniture and fixture arrangements, food and refreshments, professional photography and videography, and printing of related materials. The convocation event will be held at DUHS Ojha Campus, SUPARCO Road, Gulzar-e-Hijri, Karachi. The scope covers three main lots: Lot A involves full venue setup for 6000 guests including marquee, stages, seating, air conditioning, power supply, sound systems, food buffet, and post-event cleanup. Lot B covers photography, videography, live projection services with professional equipment and personnel, including documentary production and digital marketing content. Lot C includes printing of invitation cards, convocation books, degree cards, backdrops, certificates, car stickers, and volunteer badges as per DUHS approved designs and quality standards. Items being procured: - Lot A: Convocation pandal, trussing marquee, partition walls, covered prayer and medical areas, head table, main and side stages, carpeting, chairs and sofas for VIPs and guests, air conditioning systems, power generators, fans, water dispensers, disposable glasses, mobile washrooms, sign boards, sound equipment, food buffet for 4500 guests, post convocation dinner for organizers, refreshment stations. - Lot B: Photography and videography coverage with 6 photographers and 6 videographers, group and individual student photos, event soft copies and albums, HD video production, SMD screens for live projection, documentary production in 4K Ultra HD, paid marketing campaigns, short clips and media content, coverage of 25 DUHS departments. - Lot C: Printing of invitation cards with envelopes, convocation books, degree cards with ribbons, backdrops for main stage and media wall, pena flex banners, certificates for volunteers, VIP car stickers, volunteer hanging cards. The contract requires strict adherence to DUHS specifications and quality standards. Bidders must be registered with relevant tax authorities, have proven experience in similar events, and submit bid security as specified. The bidding procedure follows Single Stage – Two Envelope through online EPADS portal. Technical proposals will be evaluated first, followed by financial proposals of technically qualified bidders. Performance security of 10% of contract value is required from the successful bidder. The contract duration covers the entire convocation event and post-event activities.
