Services for 16th Academic Convocation Venue Setup and Catering at Quaid-e-Awam University of Engineering, Science & Technology Nawabshah

Quaid-e-Awam University of Engineering, Science & Technology (QUEST), Nawabshah invites qualified bidders to submit their bids for comprehensive services related to the 16th Academic Convocation. This procurement covers venue setup and catering services to be provided at the university premises in Nawabshah, Sindh. The scope includes decoration, sound system, marquee setup, and catering for various categories of attendees. Items being procured: - Hall arrangements for approximately 1300 persons including sofas, chairs, head table, mineral water - VIP lunch for about 100 persons with a detailed menu including Mutton Qorma, Finger Fish, Mix Vegetable Rice, and more - Lunch for professors, teachers, officers, and convocation committee members (approx. 310 persons) with specified menu - Tea, biscuits, and mineral water for 200 persons at auditorium before convocation start - Student and parents lunch for approximately 900 persons with specified menu - Security lunch area for 200 persons with Chicken Biryani and beverages - Sound system and generator support during convocation proceedings including 2 SMD screens, audio visual equipment, and electrical work The technical scope demands high-quality materials such as tents, marquees, crockery, and cutlery, all to be maintained in pristine condition. The venue must be fully operational by 8:30 AM on the convocation day with floral arrangements, banners, and lighting as specified. The service provider must ensure no sub-letting and maintain confidentiality of recordings and photographs. Eligibility criteria include valid FBR and GST/SRB registration, minimum 3 years of relevant experience, bank statements showing minimum transactions of PKR 5.5 million per year, active taxpayer status, and submission of 5% bid security amounting to Rs. 275,000 in the form of Pay Order. The bid validity period is 90 days. Performance security of 10% of the contract value is required upon award. Bids must be submitted electronically via the SPPRA-EPADS portal by 28 October 2026 at 11:00 AM, with hard copies of bid security delivered to the procurement office. Bids will be opened on the same day at 11:30 AM in the presence of bidders or their representatives. Manual bids will not be accepted. A practical tip for bidders: Ensure all samples, especially marquees, meet the quality standards as substandard delivery may result in penalties up to 10% of the item value.
