Procurement of Services for Board's Annual Events/Occasions (Annual Contract)

The Board of Secondary Education Karachi invites sealed bids from experienced and eligible suppliers/firms for the procurement of services related to the Board's Annual Events and Occasions under an annual contract. This procurement is specifically for Karachi city and aims to ensure smooth conduct and professional management of various official and academic events throughout the financial year 2026-2027. Items being procured include: - Organizing events such as Sports Festival, Inter-School Competitions, Prize Distribution Ceremonies, Pakistan Day, Defence Day, Independence Day, Milad-un-Nabi, Result Declaration Ceremonies, Teachers' Training and Academic Workshops - Lighting on Board's Building for different occasions including LED lights and decorative lighting - Catering boxes containing samosa, cake, sweets, confectionery, juice, sandwiches, burgers, cold drinks, chicken biryani, water bottles, and gift boxes for children - Decoration items including stage setup with sofas/chairs (real and artificial flowers), sound systems, fancy chairs, sofas, spotlights, panaflex banners, standees, tents, water coolers, fans, dining tables, steel and ceramic plates, spoons, thaal, jugs, glasses, carpets, chandni, daree, and waiters (male and female) - Catering items such as chicken, beef, mutton biryani and pulao, qourma, zarda, naan, taftaan, shirmaal, sweet/confectionery boxes, lab e shereen, cold drinks, juices, and water bottles - Photography, videography, and drone coverage services The technical scope covers turnkey event management including materials, labor, transportation, and all related operations. The contract duration is one year with jobs assigned as required. Minimum completion time for each task is one week, adjustable based on demand. Eligibility criteria require bidders to have at least 3 years of relevant experience, a minimum turnover of Rs.36,000,000 over the last three years, registration with EPADS (SPPRA), FBR, and Sindh Revenue Board, and submission of bid security and tender fee in the form of pay orders. Bidders must submit two copies of bids: one soft copy on EPADS and one hard copy in a sealed envelope. The tender fee is Rs.2,000 (non-refundable) and bid security Rs.360,000 (refundable). Bids must be submitted by 29-09-2026 up to 2:00 PM at the office of the Secretary, Board of Secondary Education Karachi, Nazimabad. Opening of bids will be on the same day at 2:30 PM. The procurement method is Single Stage One Envelope Procedure. A practical tip for bidders: Ensure timely submission of both the e-bid on EPADS and the hard copy with all required documents including pay order receipts to avoid disqualification.
