Provision of Services for Interfaith Harmony Conferences at Peshawar, Lahore, Karachi and Quetta

The Ministry of Religious Affairs & Interfaith Harmony is inviting sealed tenders from reputed firms/vendors for the provision of comprehensive services to hold Interfaith Harmony Conferences in the cities of Peshawar, Lahore, Karachi, and Quetta. The scope includes venue reservation, catering, accommodation, decoration, and event management to ensure successful and well-organized conferences promoting interfaith harmony. Items being procured: - Reservation of hall with sofa chairs for 250-350 persons including stage, rostrum, air-conditioning/heating, backup generator, and attached baths - Arrangement of waterproof canopies for seated dinner on round tables with decoration, side catering, waiters in uniform, lights, and carpet runner - Catering services including Chicken Korma/Mutton Korma, Chicken Boti, Vegetable Fried Rice, Mixed Vegetable, Palak Paneer, Nan (Roghni), Kheer/Fruit Trifle, Caramel Custard/Gulab Jaman, Chutneys + Raita, Mixed Salads, Green Tea, and separate buffet for VIPs - Provision of small bottles of mineral water, cold drinks (3 types), and juices as per weather - Arrangement of Tea, Hi-Tea/Coffee with cookies, patties, pastries, samosas, cakes, sandwiches - Hotel accommodation for guest speakers in single/double/suite rooms at minimum three-star hotels near the venue (without meals) - Designing, preparation, transportation, and placement of backdrops (15x30), SMD displays, standees (3'x8'), steamers (3'x5'), and banners (20'x50') with Ministry branding and Minister's picture - Printing of invitation cards with envelopes as per approved specimen - Arrangement of local and outstation transport using air-conditioned coasters - Arrangement of stage with experienced compere fluent in English and Urdu - Flower and interior decoration including flower baskets, standees, bouquets, petals, and fresh floral arrangements - Video coverage with two cameras, supply of edited CDs/USBs, still photography, and photo albums - DJ sound system with truss lights, LED lights, and electric candles The bidders must have valid Income Tax and GST registration, relevant experience in conference arrangements, and must provide an affidavit confirming they are not blacklisted. Earnest money of 5% of the total tender value in the form of pay order/demand draft must be submitted before 05.10.2026 to the Section Officer (Interfaith Harmony), Ministry of Religious Affairs & Interfaith Harmony, Islamabad. Bids must be submitted through the EPADS portal and will be opened as per announced date and venue. This tender follows a Single Stage One Envelope procedure where financial and technical proposals are submitted together. All taxes and duties must be included in the bid. The Ministry reserves the right to cancel or postpone the function at any stage. A practical tip for bidders: Ensure your bid clearly separates rates for hall, marquee, lawn, and buffet services, and attach all required registration certificates and vendor numbers to avoid disqualification. Timely submission of earnest money is critical to participate in the bidding process.
