Services for Hiring Event Management Company for Organizing FoodAg-2026 at Expo Centre Karachi (23-26 November 2026)

The Trade Development Authority of Pakistan (TDAP, HQ Karachi) invites bids for the provision of Non-Consultancy Services for hiring an Event Management Company (EMC) to organize FoodAg-2026 at the Expo Centre Karachi from 23rd to 26th November 2026. This procurement is planned for the financial year 2026-27 and will be conducted through the e-Pak Acquisition and Disposal System (EPADS) v2.0 using a Single Stage Two Envelope procedure with Least Cost Based Selection (LCBS) technique. Items being procured: - Event management services including design and development of floor plans with 3D drawings and virtual tours - Coordination with exhibitors for logistics, transport, storage, and security clearances - Arrangement of shell scheme stalls with upgrades and customized branding - Design and execution of branding, signage, media center, business center, conference rooms, waiting lounges, VIP offices - Photography and videography coverage including a documentary of the event - Registration system with color-coded passes and barcode tracking - Fund management services including foreign exchange handling and airfare reimbursement for foreign delegates - Coordination with security agencies and provision of passes - Provision of all logistical, catering, and support services as per detailed scope The EMC must station a client manager at the FoodAg-2026 Secretariat for coordination with TDAP. The scope includes managing multiple halls with thematic displays, upgraded shell schemes, and comprehensive event branding. The Fund Manager will handle funds of approximately Rs. 80 million for airfare reimbursements and related financial services. Eligibility requires registration with FBR/SECP, active tax status, non-blacklisting, and submission of affidavits and non-litigation certificates. Bidders must submit bids online via EPADS v2.0 by **September 24, 2026, 11:00 AM**. Manual bids will not be accepted. Bid security of PKR 2,800,000 is required in the form of Pay Order or Demand Draft. The contract will be awarded to the most advantageous bidder based on technical and financial evaluation.
