Supply and Setup of Exhibition Venue, Stalls, Refreshments, Branding, Photography, and Transport Services for Trade Development Conference

The Trade Development Authority of Pakistan (TDAP) invites bids for comprehensive event management services for a Trade Development Conference and Exhibition. The scope includes arranging a suitable exhibition venue with a waterproof canopy covering 15,000-20,000 sq. ft., including electricity, lighting, generator (5 KVA), sound system, carpeting, washrooms, housekeeping, and parking. Additionally, a hall for two days (10,000-12,000 sq. ft.) is required for the inaugural ceremony and closing conference, with VIP seating, stage, LED screen, floral decoration, mineral water, and ribbon cutting ceremony. Items being procured: - Water Proof Canopy for exhibition and setup/dismantling days - Hall arrangements for inaugural and closing ceremonies - 60 standard 9 sqm table setup stalls with steel pipe structure, fabric paneling, power points, tables, chairs, and waste baskets - 10 food court stalls with similar setup plus round table seating for 50 persons - Lunch for 100 persons for inaugural ceremony and conference including Kabli Pulao, chicken curry, raita, nan, and cold drinks - 100 lunch boxes for security personnel and GROs - Branding materials including main entrance gate (20x12 ft), 10 side panels/streamers, media wall/backdrop (20x10 ft), registration counter, and TDAP information desk with seating - Printing and publicity materials such as 200 invitation cards, 1000 event brochures, 200 certificates, 10 roll-up standees, 150 exhibitor cards, 250 roadside pole streamers, and souvenirs/shields - Photography and videography services with HD cameras, drone coverage, promotional teasers, documentary video, and high-resolution photos - Two sedan cars with drivers for transport during the event and setup/dismantling period The technical scope requires professional event management with quality materials and services at the venue.
